Orders & Returns

Most online and over the phone orders ship out same day, if not within 24-48 hours after payment is received. Various ship times may occur based on customized orders and options selected.
You have 14 days from receiving your product to request a return. Once your return request is approved, you have up to 30 days from the date of receipt to send the product back. A 10% restocking fee applies, and all shipping costs must be paid by the customer. Original shipping charges will be deducted from your refund.
If your order is missing an item, contains an error, or arrives damaged, please contact Karman Healthcare in writing within five (5) days of receiving your shipment. If we don’t hear from you within that time, the order will be considered accepted as received.
If you receive the wrong product or have a shipping issue, please notify Karman Healthcare within two (2) business days of receipt. Products shipped in error can be returned through our Return Merchandise Authorization (RMA) process, as long as they are returned within 30 days of receiving them.
Yes, the restocking fee is standard 10%.
We usually do not provide return shipping labels. If an exception is made and a label is provided, the cost of return shipping will be deducted from your refund. Please note that using a prepaid return label may delay your refund by up to one (1) week.

Proposition 65, officially known as the Safe Drinking Water and Toxic Enforcement Act of 1986, is a California law that requires businesses to provide warnings about potential exposure to certain chemicals known to cause cancer, birth defects, or other reproductive harm. This law applies to all companies selling or distributing products in California. The list of chemicals covered by Proposition 65 includes more than 800 substances that may be found in common materials such as plastics, paints, metals, and textiles.

Karman Healthcare provides Proposition 65 warnings out of an abundance of caution and to comply with California law. The warning does not mean that our products will cause harm. It simply indicates that a listed chemical may be present, even in very small amounts. All Karman Healthcare products are designed and manufactured with safety in mind. The level of exposure, if any, is typically well within the “no significant risk” range established by the state.

We include this warning to remain transparent and to ensure customers have all information required under Proposition 65.

Funding Source

What funding source is available?
In the U.S., there are several ways to get financial help when purchasing a manual wheelchair. Some dealers even offer 0% interest financing.* To find a dealer, use our Dealer Locator. Possible funding options include:
  • Medicaid, SCHIP, Medicare, and other government insurance programs
  • MedWaiver
  • Private insurance (HMO, PPO, etc.)
  • Early intervention programs
  • Local community groups, such as Rotary Clubs or Lions Clubs
  • Disability organizations, such as the Muscular Dystrophy Association (MDA) or the MS Society
What is Medicaid?
Medicaid is a health program for eligible low-income parents, children, seniors, and people with disabilities. It is jointly funded by the federal and state governments and managed by each state, which sets its own eligibility rules. Medicaid programs differ from state to state, but all states must provide a core set of services for children’s health care through the Early Periodic Screening, Diagnosis, and Treatment (EPSDT) program. Medicaid can be a helpful source of funding for children who use wheelchairs.
Medicare is a federally funded health program for Americans age 65 and older. It helps cover medical expenses such as doctor visits, hospital stays, medications, and other treatments. Medicare is also an important source of funding for wheelchairs and other durable medical equipment. Medicare Part B specifically covers wheelchairs. When purchasing a wheelchair, consumers and suppliers work with the Durable Medical Equipment (DME) Regional Carrier that serves your state.
Many wheelchairs may be covered by private insurance, but coverage can vary by policy. Check with your insurance provider to see what your plan covers, or contact your local Durable Medical Equipment (DME) provider and speak with their reimbursement specialist. If you encounter any issues with an in-network insurance company, contact us first.
Medicaid Waiver Programs provide services that aren’t typically covered by standard Medicaid, which can include medical equipment like wheelchairs. These programs are available in many states and usually target specific disability or age groups. Under a Home and Community-Based Services (HCBS) waiver, states can offer a wide range of services, including:
  • Medical services such as dental care or skilled nursing
  • Non-medical services such as respite care, case management, or home modifications
Each state sets its own eligibility rules and application process. The number of people served can vary, and states can request approval to serve more or fewer individuals as needed. For information on how to apply for Medicaid or waiver programs in your state, please contact your state Medicaid agency.
In the U.S., many wheelchairs are reimbursed by Medicare or Medicaid. Please ask your local DME provider for assistance and information on funding in your area.
Our wheelchairs are classified as Durable Medical Equipment and have been assigned HCPCS Codes. Please refer to our HCPCS Code List to view our suggested codes.
HCPCS numbers are codes assigned to medical products, services, and procedures provided by healthcare professionals. Products are grouped based on their function and therapeutic differences from other items. Using standardized codes ensures consistency across the medical community. For a detailed overview, visit CMS HCPCS General Information
A Letter of Medical Necessity (also called a Justification Letter) explains why a specific piece of medical equipment is needed due to a documented medical condition or impairment. It must be written by a physician or therapist and submitted to your insurance or funding provider. The letter outlines the clinical need for the recommended equipment to help your payer understand why it is necessary. Click here to view examples.
